The electoral process at a university is crucial for democratically selecting authorities and student representatives. Over several years, the Electoral Committee of the Universidad Peruana Cayetano Heredia, in collaboration with the University Office of Information Technology (now the University Office of Information Technologies - OUTI), has worked on the development of electronic elections to choose representatives for the University Council, the University Assembly, and other electoral processes. However, this process was characterized by delays in the development of ballots and testing, poor communication resulting in disputes and complaints, ultimately leading to compliance with requests but leaving a sense of dissatisfaction and a contentious working atmosphere between both areas. In the last quarter of 2019, a plan of action was initiated to improve the ongoing work and communication with the Electoral Committee during the earlier stages of the electoral process. These planned improvements included the use of the DMAIC methodology, agile tools, and the implementation of Kanban boards to enhance the quality of service in terms of communication with users and involved stakeholders, process documentation, and reducing the time required to create virtual ballots and tests. These improvements were implemented and tested during various virtual elections conducted between 2020 and 2022 at the university. The impact has been significant, particularly during the pandemic, where remote communication was crucial in the workplace. This change was satisfying as it streamlined processes and improved communication. Simultaneously, these successful improvements received recognition from the university authorities. In conclusion, the application of the DMAIC methodology and the use of agile tools have been instrumental in enhancing the quality of service in the virtual electoral process at the Universidad Peruana Cayetano Heredia.
